INVENTORY ACCOUNTING FAQ
It connects product quantities and costs to financial records. A complete transaction can update purchases or payables, inventory assets, revenue, sales tax, inventory relief, cost of goods sold, returns, and adjustments with an audit trail.
Both support inventory-related workflows, but plan and depth matter. QuickBooks Online documents native inventory in Plus and Advanced. Xero provides accounting and offers Inventory Plus on eligible US plans. Complex warehouses, traceability, manufacturing, or channels may require a connected specialist.
One system reduces sync points and shared-master-data errors. Two connected systems can provide deeper warehouse operations and let the accountant retain a familiar ledger. The deciding factor is whether every transaction can be traced, reconciled, retried, and exported.
Buying inventory normally moves cash or a payable into an inventory asset rather than immediately becoming an expense. When inventory is sold, its assigned cost moves to cost of goods sold. Costing method, adjustments, returns, freight allocation, and timing change gross margin.
Reconcile the general-ledger inventory asset to the inventory valuation report, then explain timing differences, negative stock, unposted receipts, shipments, returns, adjustments, landed costs, and integration failures at transaction level.
