Microsoft 365 is the conventional starting point for Office-format and Microsoft-admin continuity. Google Workspace fits browser-native co-editing. Zoho Workplace is the lower-priced full-bundle candidate. Proton Workspace prioritizes private communication and bundled security tools. Nextcloud makes infrastructure control possible—but also makes operations your responsibility.

Price is not a score. Microsoft and Google references are entry business tiers, Zoho’s is its Workplace Standard tier, Proton’s is Workspace Standard, and Nextcloud’s is a 100-user Enterprise subscription reference. Taxes, promotions, hosting, add-ons, implementation, and support can change the real total.

THE 20-SEAT BASELINE

License math is easy.
Coverage math is not.

Using the dated entry references above, 20 seats would begin at roughly $140/month for Microsoft 365 Business Basic, $140/month for Google Workspace Business Starter, $60/month for Zoho Workplace Standard, or $259.80/month for Proton Workspace Standard when annual pricing is expressed monthly.

That arithmetic does not make Zoho “best value” or Proton “too expensive.” The plans cover different security, storage, desktop, admin, and ecosystem needs. Nextcloud cannot be folded into the same calculation: its published Enterprise reference starts at 100 users in euros, while infrastructure and operations remain separate.

DOCUMENT COLLABORATION

ONLYOFFICE DocSpace

DocSpace offers collaborative document rooms and a cloud plan priced by administrators rather than every user. It may fit client-facing document work, but it is not a one-for-one replacement for a suite that owns business email, calendars, and identity.

LibreOffice

A capable desktop office suite can reduce document-software cost, yet it does not by itself provide hosted business email, shared cloud identity, meetings, or a managed collaboration service. Those layers still need owners.

What is a productivity suite?+

A productivity suite is a connected collection of software for creating and sharing work. A business cloud productivity suite usually combines documents, spreadsheets, presentations, email, calendars, meetings, storage, accounts, permissions, and administration. Some products use “suite” for a narrower desktop or document bundle, so compare the boundary rather than the label.

Which productivity suite is best for a small business?+

There is no universal winner. Microsoft 365 is the common starting point for Office files and Microsoft environments; Google Workspace for browser co-editing; Zoho Workplace for a lower-cost full bundle; Proton Workspace for privacy-oriented communication; and a self-managed platform only when someone can own operations.

Is a cloud productivity suite better than desktop software?+

It is better when shared identity, live co-editing, centralized administration, storage, and cross-device access matter more than maximum desktop depth. Desktop software remains important for complex files, offline work, specialized extensions, local performance, and workflows that do not belong in a hosted service.

Can a productivity suite replace project-management software?+

Sometimes, for lightweight work. Shared documents, lists, calendars, chat, and simple task tools can support a small workflow. Dedicated project software becomes useful when the team needs dependencies, portfolio reporting, intake, capacity, advanced automations, or a clearer owner than an inbox or document provides.

What should we test before migrating?+

Test the files most likely to break, external guests, shared mailboxes, calendars, room devices, mobile access, permissions, export, restore, offboarding, and the first paid add-on. A reversible pilot with real work provides more evidence than a feature tour.
