At the dated free-plan limits, a 45-minute group call fits Google Meet and Microsoft Teams Free, but exceeds Zoom Basic and Webex Free at 40 minutes, and exceeds Whereby Free at 30 minutes. That does not rank call quality; it simply exposes a preventable cutoff.
Jitsi’s public service is different: it is free and accountless, but the reviewed official page does not state one fixed participant cap or service-level commitment. Test the intended load and read the instance terms rather than converting “free” into an uptime promise.

BEFORE RECORDING OR INVITING
“Encrypted” does not answer who can enter, who can capture the call, where the artifact goes, or how long it remains. Define those decisions for the actual meeting.
Use named attendees or a controlled link. Avoid putting confidential context in a public room name.
Set lobby, guest, domain, lock, and rejoin rules; name the person watching the door.
Control screen share, chat, mute, participant roles, links, files, and disruptive behavior.
Decide whether recording or transcription is necessary, disclose it, and confirm consent requirements.
Name the artifact owner, access list, storage location, deletion date, and correction path.
For sensitive, medical, legal, financial, employment, or regulated discussions, verify the current service configuration and contractual requirements with qualified security, privacy, and legal owners. A marketing feature label is not that review.
THE CALL-QUALITY TRIAGE
A credible product trial separates software limitations from network, room, device, and facilitation problems.
Retry from an incognito browser, a personal email, mobile data, and a restricted work device. Inspect account, lobby, domain, link, and browser requirements.
Mute extra devices in the same room, use one room audio system, separate speakers from microphones, or use headsets. Echo is often a room topology problem.
Turn off incoming video, stop background uploads, try wired connectivity, reduce shared-screen motion, and test the same route from another network.
Share one application window, enlarge text, close sensitive tabs, reduce animation, and test the participant view—not only the presenter view.
Check speaker labels, captions, audio levels, layout, screen-share capture, storage, permissions, export, and the deletion workflow before the real session.
That is a facilitation failure. Put the purpose, decision, agenda, owner, and stop time in the invitation; use asynchronous work when live presence adds no value.

The best video conferencing app is the one that the intended participants can enter, use, understand, and leave safely.
It is a hosted service that connects live audio, video, screen sharing, chat, and related collaboration through internet-connected apps or browsers. The provider operates the cloud service, while the customer still owns meeting configuration, invitations, participant access, devices, facilitation, artifacts, and policy choices.
For a 45-minute group call under 100 people, the dated free limits make Google Meet or Microsoft Teams Free the straightforward capacity candidates. Zoom Basic and Webex Free currently stop most free meetings at 40 minutes. Whereby Free fits up to four attendees for 30 minutes. Jitsi offers an accountless public service but no fixed capacity SLA on the reviewed overview.
Often, but the host path and guest path differ. Zoom says participants can join without a Zoom account; Teams and Google allow link-based external participation under host controls; Whereby does not require a guest login or download; Jitsi’s public service does not require an account. Test the exact invitation from outside the organization.

Webinars and public events can require registration, attendee-only roles, backstage controls, multiple producers, moderation, streaming, branded communications, reporting, higher capacity, support, and a rehearsed fallback. Compare the vendor’s event product rather than stretching a free meeting room.
No. Recording can improve recall and accessibility but creates consent, privacy, storage, access, correction, retention, and security responsibilities. Capture only what has a defined purpose and owner, and verify applicable organizational and legal requirements.

Record join time, audio recovery, video stability, screen readability, captions, mobile behavior, host controls, artifact quality, and the first point where help was needed.
